How to check all completed trip reports?

For a fleet owner, the trip details are a great source of information to understand the business performance. Trip reports provide information such as vehicle geo-location, trip expenses, goods loading and unloading information, Vehicle performance, etc.All this information serves as a lead to understand and optimise his business plan for upcoming trips effectively.

To make the best use of trip details, a fleet owner needs all possible details in a consolidated report that (s)he can access easily instead of just having accumulated raw details.

With our FleetOS software, a fleet owner/manager can get access to all the past trip details in a consolidated way that can be accessed as and when needed.

Let’s learn how a fleet owner can access trip reports using FleetOS.

Illustrations

On 22 June 2021, ABTrucks fleet owner had completed a logistics trip from T-shirt Factory Hall, Tirupur to Chennai Airport which includes two loading points and two unloading points.

Here are the details of a trip report that a fleet owner can access.

Step 1

Login to your FleetOS site or mobile apps.

Step 2

Choose the organisation from the drop-down list to check the trip reports of vehicles listed under the particular organisation.

Step 3

Now to check the past trip reports, click on the Reports tab in the left side on the screen and select Trip Reports from the drop-down.

Step 4

Once you click on Trip Reports, you will be redirected to a new screen where you can select

  • Driver
  • Vehicle
  • Select Trip Date

Upon selection, you can find the trip report cards of all past trips. To check the details click on the View More icon.

Note: Not necessarily you need to use all the filters to find the trip reports.
Step 5

In the redirected screen, the fleet owner can get the history of a trip

From this screen, a fleet owner can find the following details:

  1. Trip Name
  2. Trip starting Point (along with Time & Date)
  3. Trip Ending Point (along with Time & Date)
  4. Fuel Consumption (If you have fuel sensors installed)
  5. Distance Covered (If you have GPS installed in your Vehicle)
  6. Mileage

Along with with above mentioned details, fleet owner can get access to get trip details mentioned under following headings

Trip Status

In this section, a fleet owner can access complete trip details that contains

  • Start date & time on the trip.
  • Status of Goods Loading
  • Status of unloading
  • Time & date of loading and unloading
  • Distance covered in a particular time.
Note: All the above mentioned details get updated when the driver uses Vamosys DRS App. Using this application, the driver can communicate the complete trip status without you or the driver having to make numerous calls.

The fleet owner can also download the trip status details in the form of Excel sheet and he/she can also access the map view easily.

Attention List

In this section, you can review the complete list of expense requests raised by your fleet driver via Vamosys DRS app and your responses on those requests.

List of requests captured under Attention List:

  • Fuel Fill
  • Spares & Services
  • Loading Charges
  • Unloading Charges
  • Toll Cash
  • Goods Damaged
  • Parking
  • Any Queries
Note: As a fleet owner, you can either Accept or Reject or Edit the request. This feature will enable both the driver and the fleet owner to communicate efficiently and also keep record of Attention requests in a consolidated format.
POD aka Proof Of Delivery

Using this feature a fleet owner can upload the unloading receipt given by the driver and mark POD is received.

This helps you to close the trip conveniently with the proof note.

Note: POD is an important piece of information receipt which confirms whether the scheduled delivery of a product has been delivered or not.
Expenses

In this section, you can check the total trip budget allocated, total amount spent, pur[pose of the spending, etc. You can also add other expenses incurred outside of the budget by clicking the Add Expenses tab.

You can also view the Summary of expenses and balance amount in a separate column.

Let’s see how to add expenses.

Click on Add Expenses Tab and you will get a pop-up as shown below and click submit.

Along with that, if you have sufficient proof for the expenses incurred on this trip, you can also add the relevant document.
